Microsoft 365 migration

SAP Care

SAP Care is a domiciliary care and nursing agency in West Kent, now a leading supplier of healthcare staff locally.

The challenge

The challenge that SAP Care was facing when they first came to PS Tech was that their systems were getting old, and needed to be updated. Files and data were all kept on a localised office PC causing rising security risks, flexibility issues, and problems with home working. They were also using a legacy IMAP solution for email meaning again, increased security risks.

The solution

PS Tech decided the best way to overcome these challenges was to firstly migrate the files and data on the localised office PC to SharePoint – one central cloud based solution for all SAP Care’s data. They would then be on the latest software, have up-to-date security, with all company data safely stored and backed up.

Their legacy IMAP email solution was to be switched to Microsoft Exchange Online. Microsoft Teams was also to be implemented which would help home workers significantly. PS Tech will also harden their Microsoft 365 environments which will help to enhance the security level for SAP Care. This will also ensure that access to company data is controllable.

Great support team. Quick to respond to our queries and always helpful.

The result

Following a smooth transition, moving SAP Care’s data to the cloud has firstly increased the ease of access to company data and files for employees. Secondly, it has tightened security and removed some of the risks attached to having data on an old office-based PC.

Employees can now gain access to data and files from multiple devices and locations, meaning they can work from anywhere with ease.

The implementation of Microsoft Teams improves remote working even more, allowing for better communication and collaboration.

Of course with all these changes it was important that security was not compromised, so PS Tech hardened their M365 environments meaning company data is more secure and access is controlled. They now also have a more reliable and secure email solution with Exchange Online.

Key outcomes

1

Secure, cloud-based data access

Migrating from a local office PC to SharePoint gave SAP Care a centralised, cloud-based system. Staff can now access files securely from anywhere, improving flexibility and reducing the risk of data loss or breaches.

2

Improved remote working capabilities

With Microsoft Teams in place, SAP Care’s team can collaborate and communicate more effectively, especially when working remotely. This has made home working smoother and more productive across the agency.

3

Enhanced email reliability

Switching from a legacy IMAP setup to Microsoft Exchange Online provided SAP Care with a more secure and dependable email system. This upgrade reduced vulnerabilities and improved day-to-day communication.

4

Increased security

PS Tech strengthened SAP Care’s Microsoft 365 setup, ensuring tighter control over data access and boosting overall cybersecurity. This gave the organisation peace of mind that sensitive information is well protected.
